Why Clients Should Receive PDF, Not Excel
When you send an Excel file (.xlsx) to a client, several things can go wrong:
- They use Google Sheets or LibreOffice — fonts and formatting shift
- They see your formulas (which you may not want to share)
- They can accidentally edit the data
- Charts may not render correctly
- They may not have Excel installed at all
A PDF eliminates all of these problems. It looks exactly as you designed it, on every device, without any software requirements.
Preparing Excel for Perfect PDF Export
Set print area: Select your data range → Page Layout → Print Area → Set Print Area. This ensures only the relevant data appears in the PDF, not empty cells.
Fit to width: Page Layout → Scale to Fit → Width: 1 page. This prevents columns being cut off.
Choose orientation: Landscape works better for wide data tables. Portrait for tall, narrow reports.
Check page breaks: View → Page Break Preview. Drag breaks to avoid tables splitting awkwardly across pages.
Converting to PDF
- Save your Excel file
- Go to iloveconvert.in/convert/excel-to-pdf
- Upload the .xlsx file
- Download the PDF
- Open and verify before sending
Adding Branding to Excel PDFs
Before converting, add your company header and footer in Excel:
- Insert → Header & Footer
- Add company name, logo, and report date in the header
- Add page numbers and confidentiality notice in the footer
These will appear on every page of the converted PDF, giving your report a professional, branded appearance.
Protecting the PDF
For client reports with financial data, consider adding an owner password that prevents copying or editing. The client can still view the report normally but cannot extract the underlying data.
